- Facility Rental Areas:
- Staffing: An additional $22 per hour will be charged for room rentals that occur before or after business hours.
- Blue Heron Room includes the use of the kitchen, tables and chairs. The room is 1,162 sq. ft. and can accommodate up to 100 people max. (Non-seated event). If you are planning a seated event, we suggest a maximum of 88 people. The foyer area is not included with rental.
- East Deck is included with the Blue Heron Room from May-September.
(No refunds will be given for inclement weather affecting use of the deck). The deck is 2,256 sq. ft. and comes with outdoor tables and chairs. Table umbrellas are in place on the small deck from pool opening day to Labor Day. If you would like any deck tables arranged differently you must arrange for payment to have them moved properly. Tables on the deck if moved could cause damage and forfeiture of check on file. All items used MUST have pads and covers to prevent scratching of the floors and deck. The deck is not included from Oct. – April. If weather permits and no ice or snow is present use of the deck can be requested. Please note that we do not provide ice/snow removal on the deck nor is it allowed by the rental party. (Shoveling & de-icing could damage the deck material).
- Redmond Room is available for meetings & smaller events. The room is 378 sq. ft. and holds a maximum of 25 people. Kitchen and appliances are not included with this rental. The foyer is not included with this rental.

- Outdoor rentals do not include use of any indoor rooms, kitchen or appliances. The below rentals are available from opening day of the pool to Labor Day. Rentals do not include guest fees except after hour pool rentals. No refunds for inclement weather.
- Gazebo comes with two large picnic tables and is rented for 4 hour intervals. The maximum group size is 25 people & guest fees apply.
- Party Shackcomes with tables, chairs, umbrellas, Party Shack bar & cooler.
- Fire Pit rental includes the fire pit area only. You will need to provide your own lighting materials, starter log and bundle(s) of wood. You will start and extinguish the fire along with all clean up that is necessary.
- Pool is available for private parties up to 100 people. Lifeguards provided.

Rental Details and Regulations:
Vendors and Deliveries – Caterers, Vendors, Bands and others may need extra time to set up or deliver items. Please remember this must take place during your paid rental time. Unfortunately our staff can not accept deliveries. Time of deliveries and pick-ups must be arranged to fall within your paid rental time. Pick ups must be done prior to the end of your rental time, as we often have rentals back to back. If you need to store items before or after your rental the Redmond Room can be rented if available.
- Staffing for beginning of rental: Residents who are unable to be present during the first few hours of their rental can now hire a staff person to be present for them. This will help accommodate those who are unable to be there while their party is being set up. Normal staff fees will apply with a 2 hour minimum not to exceed 50% of the rental time.
- Decorations –All decorations are to be displayed within your rental area. Please remove and dispose all decorations prior to the end of your event. Wall decorations are not allowed along with difficult-to-clean materials (rice, birdseed, glitter, potpourri, feathers & flower petals). A $75 clean up fee will be assessed if they are found after a rental. Items can not be attached or hung from the tent.
Smoke/fog machines can and will set off the alarm system. Therefore, we are unable to allow you to use these items. Fines will be added accordingly if discovered or set off the fire alarms. Any items that need to be lit must be pre-approved and signed off by a manager.
- Balloons/Confetti – These items are discouraged. Balloons can slip away and end up high into the ceiling rafters and unable to get them down to avoid setting off the motion alarms. Confetti is very time-consuming when cleaning. If you really want helium balloons a $75 check can be placed on file and will be returned if no balloons escape in the building. There will be a $75 non-refundable extra clean up fee required if you would like to have any type of Confetti present during your event
- Music and Dancing – Amplification may be used. The sound level must remain acceptable for a residential neighborhood, and may not exceed the City ordinance of Lakewood of 60 decibels. Music may be played outside but must stay within the noise level allowed by the city ordinance. If music is played loud enough to cause a disturbance, the rental party will be asked to turn the music down or off. Loud music could result in a ticket being issued by the police department to the rental resident.
Smoking – Smoking is prohibited within the Village Center and the grounds, including the deck. In accordance to Colorado State Law smoking is only allowed in the parking lot 25 ft. from the entrance of the building. Cigarette butts left on the ground could result in an additional clean up fee. It is the renter’s responsibility to enforce the no smoking policy.
Alcohol – Alcohol may be served during your event and only in the areas you have rented. It is required that your bar be continuously supervised by an adult over the age of 21. A professional bartender is recommended (but not required) to assist you in controlling the consumption of alcohol. The sale of alcohol is prohibited. No liquor, including 3.2 % beer, shall be served on the premises to an individual under the age of 21. Please keep kegs in a leak-proof container with a mat placed underneath. Cleaning of spillage is the renter’s responsibility and should be done immediately to protect our floors. Glass containers may be used inside the facility and east deck, but not anywhere near the pool deck or surrounding areas.
Clean up, Departure and Damages –Any tables or chairs taken out to the deck need to be cleaned and returned back in its original location before the end of your rental. Deliveries and pick-ups are the renter’s responsibility. Unfortunately staff can not accept or sign for any deliveries. The renter will inspect the facility with a staff member and complete the check in/out form before vacating the facility.
Cancellation Policy - The renter may cancel or move the date of their rental up to 30 days prior to their event with the exception of peak months which are May, June, July, August and December and require 60 days. No refunds will be given if not done within the required time frame. A $25 fee will be charged regardless of when the cancellation or change is done. Peak months require a 60 day advanced notice. All rental cancellations will be charged the minimum of $25 regardless of the date of cancellation.
Parking – Parking is available on a first come, first serve basis. Parking spaces are limited during the busy summer months. Please encourage your guests to car pool to your event. Please note that we are not responsible for any damages or theft from cars in the parking lot, and any cars left abandoned will be towed without notice.
Deposit – An Assurance Check of $250 is required as part of your rental. This check will be held until after your event and will be returned to you as long as you vacated the facility at the designated time. Your check will be returned to you within 14 days if the proper checkout time occurs.
Tent – For the 2011 season we will have a 40 X 40 tent located on the east deck with a lighting package. This will be part of all 2011 rentals that take place from April 30th – September 5th at no additional charge. Up to 4 sides with clear French windows can be added for an additional $275 and must be ordered and paid for 7 days before your rental date.

The Grant Ranch Master Homeowners Association (GRMHOA) Village Center has several areas available for residents to rent on a first-come, first-serve basis throughout the year. This brochure will outline the available areas for rent, fees, and regulations. Please visit our website at http://www.grantranch.org/ for photos of the rooms, a copy of the rental contract and other helpful information about renting the facility.
Reservations:
Reservations can only be made by Grant Ranch residents that are members in good standing and can be made up to one year in advance. Payments must be made in full by cash, check or credit card from the hosting resident along with an assurance check at the time of the reservation. The resident must also sign the rental contract and must be present the entire time of the function and will be the sole contact person with the staff before, during and after the event. The contract is very detailed and it is recommended that you read it thoroughly before signing. A sample copy can be found on our website. You will receive a copy of the signed contract upon booking the reservation. Reservation time must include set-up and clean-up times. Be sure to plan for enough time and coordinate with caterers, party planners and etc. to accommodate their time requirements. If you are not sure how much time you may need you can make an appointment with our Office Manager for assistance. The foyer and common areas are not included with any rental. Any changes that need to be done with a contract will result in a $25 cancellation/change fee each time there is a change. Items can be brought in after your contract start time and everything must be removed before your contract ending time. In cases where you might need to store items, storage can be rented prior to your rental date depending upon availability. All events must be over by 1:00 a.m. The outdoor facilities are not included to be used by non-residents with any rental (Pool rental excluded). Contact a manager a minimum of 3 weeks prior to your rental for pricing and availability for your guests to use the pool, tennis courts, or marina during your rental time. We reserve the right to deny use due to the size of the event or impact it may cause on the residents of the community. |
